I. Club Purpose

  1. This organization shall be known as the KC Jeep Club.
  2. The KC Jeep Club is focused on fun, family oriented activities for all Jeep owners. We want to give responsible Jeep owners the opportunity to maximize the experience of driving a Jeep, one of most unique vehicles ever made, and share their experiences and knowledge with others.  As a group, we agree that off road driving does not mix with guns, alcohol or drugs.  We adhere strongly to the principle of TREAD LIGHTLY, and as members of this organization accept our role in improving and maintaining the areas we use.  Our objective is to foster an atmosphere that ensures the best care of the environment.
  3. KC Jeep Club is organized as a non-profit club for the purpose of:
    1. Providing family oriented recreational activities for its members.
    2. Enjoying and protecting the natural resources. Supporting the Multiple Use Principle as applies to public land.
    3. Support ours and other communities.

II Membership

  1. Responsibilities
    1. Members must drive a four-wheel drive Jeep vehicle.
    2. New members and existing members at time of renewal must sign the KC Jeep Club Membership Application Form.
    3. Membership shall include all members of the household under the age of 18.
    4. Dues shall be $30.00 per member per year, due at time of application and at membership renewal. Dues are non-refundable.
    5. Additional vehicles within the household may be added to a single membership at the cost of $15.00.
    6. Members must be at least 18 years of age and hold a valid driver’s license and state required insurance for their Jeep vehicle.
    7. Members will not consume alcohol during any KC Jeep Club event, which involves driving either on or off highway.
    8. Members must practice responsible driving principles consistent with Tread Lightly ethics, and pose the least possible effect on the environment.
    9. Unruly or disrespectful behavior by club members during club events or meetings will not be tolerated.
    10. Illegal possession or consumption of controlled substances will not be tolerated.
    11. Members will not carry, brandish or discharge firearms during any club event.
    12. Members must attend a minimum of 3 (three) meetings per year and one event to be eligible to renew their membership.
    13. Members shall notify the Secretary of any changes in address, phone number or e-mail address.
    14. Direct participation in events and voting rights are limited to members. However, guests are welcome to attend either meetings or events unless specifically requested otherwise by the Board of Directors.
    15. Any exceptions to the above-mentioned items will be reviewed by the Board of Directors and discussed with the club members at the club meeting.
    16. Any members who violate any of the above-mentioned responsibilities will be subject to immediate review by the Board of Directors for possible suspension or expulsion from KC Jeep Club.
    17. The following equipment is MANDATORY for KC Jeep Club events:
      1. Front and rear tow hooks should be properly mounted to the frame with grade eight bolts unless the tow hooks are factory mounted.
      2. Drawbars or receiver hitches are acceptable as an alternative to rear tow hooks.
      3. All open-topped vehicles, including older models (CJs, Scramblers, and Willys), must have mandatory roll bars.
      4. A full size spare tire. In case of puncture, a mini spare won’t do.
    18. If your Jeep does not have the mandatory equipment, you will be turned away at the trailhead.
    19. The following equipment is strongly recommended for KC Jeep Club events:
      1. Skid plates covering the oil pan, gas tank, and transfer case.
      2. Rock rails for Jeep Liberty, Cherokee, and Grand Cherokee.
      3. Heavy duty, 20′ long nylon tow straps (20,000 pound minimum) with looped ends (no hooks).
      4. Tow straps with metal hooks will not be permitted.
      5. A CB Radio. It is the only way to communicate with trail leaders and fellow members on trails.
      6. Fire extinguisher and first aid kit.
      7. A toolbox with basic tools for repairs.
  2. Rights and Benefits
    1. Members will receive free admission to the Annual KC Jeep Club Summer Cookout.
    2. Full voting privileges on club events, election of officers, changes to Bylaws, and any other circumstances, which may change the structure of the club.
    3. Group membership to Tread Lightly and reduced pricing on individual memberships to United 4-Wheel Drive Association.
    4. Free monthly KC Jeep Club newsletter sent via e-mail. Hard copy will be mailed by request only.
    5. Membership card that entitles the member to special discounts.
    6. Members who adopt and sign the By-­‐laws of KC Jeep Club on or before March 31, 2001 shall be known as Charter Members of the organization.
    7. Free club t-shirt at joining and renewal.
    8. Free club windshield banner at joining.
    9. Free club logo sticker at joining.
    10. Able to post Jeep and bio in Members Jeeps section and have access to club members only sections of the website.

III. Meetings

  1. Meetings will be held monthly at such time and place as may be designated by the Board of Directors.
  2. Members will be notified of meeting date and location through the KC Jeep Club Newsletter and via website.

IV. Structure of Officers

  1. Administration of Officers
    1. Officers shall consist of President, Vice-President, Secretary, Treasurer, Public Relations,Environmental Affairs Officer, Safety Officer, Event Coordinator and shall be known as the Executive Committee, and shall act as Board of Directors in case of Emergency, or in the absence of the Directors.
    2. The Board of Directors shall consist of the Executive Committee and a minimum of 2 (two) Directors appointed on an as needed basis by the Executive Committee.
    3. Election of Officers shall be held annually.
  2. Duties of Office
    1. President shall:
      1. Preside over meetings.
      2. Attend all events when possible.
      3. Carry out policies and decisions of the Board of Directors.
      4. Be without voting rights except in the event of a tie.
    2. Vice-President shall:
      1. Serve as President in their absence.
      2. Perform other duties as assigned by Board of Directors.
    3. Secretary shall:
      1. Keep and preserve all records and minutes of the Club meetings.
      2. Keep and preserve list of attendees and determine number of voting members present.

      5. Collect articles and publish monthly newsletter.
    4. Treasurer shall:
      1. Keep accurate and complete records of funds and accounts of the Club.
      2. Collect all dues and maintain a record thereof.
      3. Give budget report to members at monthly meetings.
      4. Disperse funds as directed by Board of Directors.
      5. Submit all requests for expenditures of funds over $100 through the Board of Directors for approval.
    5. Public Relations Officer shall:
      1. Promote the Club through advertising, or as directed by Board of
      2. Submit any funding requests to Treasurer.
    6. Environmental Affairs Officer shall:
      1. Organize cleanup projects
      2. Inform members of events or legislation which will directly impact KC Jeep Club, the environment, or the sport of four wheeling.
    7. Safety Officer shall:
      1. Conduct vehicle inspections for new members, renewing members, new vehicles or upon vehicle upgrades according to bylaws.
      2. Organize and lead 101 classes and other safety classes and discussions.
    8. Event Coordinator shall:
      1. Organize all club events including but not limited to trail rides, charity events, picnic and parades.
      2. Keep website events calendar up to date.
      3. Communicate event logistics to members via the web and monthly newsletter.
    9. HAM Radio Trustee: (must hold a General class or better license)
      1. Office is appointed to a member in good standing for 3 years.
      2. Will keep the FCC records current and work towards getting more members licensed.
      3. Will assist in organizing any events requiring HAM radio usages.
  3. Election of Officers
    1. Officers shall be elected annually based on majority of present members and absentee votes and is announced at the November meeting.

    4. Voting occurs during the October meeting.
    5. Members may place an absentee nomination or vote by contacting one of the Board of Directors via the website, email or mail.
      1. Absentee nominations must be received by Saturday at midnight before the October meeting.
      2. Absentee votes must be received by Saturday at midnight before the November meeting.

V. Event Procedures

  1. General Events
    1. All Events are subject to approval by the Board of Directors.
    2. Trip Leader, as appointed by the Board of Directors, is responsible to direct the event.
    3. All members present, including Board of Directors, are responsible to follow the direction of Trip Leader from beginning of an event to termination of that event.
    4. All events must be conducted in an orderly manner with safety as the primary factor.
    5. Any event held on Private Property would be subject to Liability Release.
    6. No one under the age of 18 will be permitted to drive in     any event unless accompanied by parent or guardian.
    7. All guests will be required to sign a participant’s release prior to the event.
    8. All members and guests participating in an event shall abide by the Motor Vehicle Code of the state concerned and by the laws and regulations of the city, county, or circumstances involved.
  2. Competitive Events
    1. All competitive events shall be under the direct authority, supervision, and control of the Board of Directors.
    2. Entrance classifications and regulations shall be determined by the Board of Directors.
    3. Vehicles may be subject to technical inspection and shall be disqualified if found to be mechanically unsafe.

VI. Amendments

  1. These Bylaws may be amended by two thirds majority of present members and absentee votes.
  2. Any amendments to these Bylaws must be presented to members through meeting minutes reported in the Club Newsletter and via the website.
  3. Any proposed amendments will be announced prior to the next meeting and communicated through the monthly newsletter and via the website.
  4. February 1, 2009 updates
    1. Removed the statement under membership benefits of “United 4-Wheel Drive Association sticker with United 4-Wheel Drive Association individual membership purchase”
    2. Removed the statement ” Total number of vehicles shall not exceed 150. If membership is at its maximum, and there is sufficient interest to increase membership, a special meeting of the Board of Directors will be called to discuss dividing the club into smaller chapters.
    3. Added clarification for the process of nomination and election of officers.
    4. Added responsibilities list for Safety Officer and Event Coordinator.
    5. Added that factory installed bolts are acceptable for required equipment on tow hooks. Changed from 3 Board of Directors to a minimum of 2.
  5. February 7, 2010 updates
    1. 10% of all club funds will go into a separate charity fund, unless stated an event or proceeds from the sale of an item goes towards a certain charity then that percentage could be less than or equal to 100%. These are placed under Treasurer responsibilities.
    2. Treasurer is to complete tax-exempt state requirements to maintain club status as tax exempt annually.
    3. Treasurer is to maintain federal 501c-7 status annually including filling tax return
    4. The Executive Committee will decide what is appropriate in maintaining the integrity of the club on any club asset, and take the appropriate action needed.
    5. At least 1 member of the Executive Committee must be present at any club function in order for it to be classified as a club function.
  6. April 11, 2010 updates
    1. Dues will be $30 if paid through the month of September and $15 if paid after September 30th. The motion carried by a majority. The bylaws will be amended to reflect the change. All members will be up for renewal in January to move the club to a calendar year renewal schedule rather than annual based on original signup date.
